Service Line: PMD We are looking to recruit a Project Co-ordinator to join our IT team based in Send, near Woking, Surrey (Please note you will need to drive and have a car to be able to complete this role as the location of our office are remote and transportation links are very poor). This role will be key in ensuring the document management system for construction projects is set up in a consistent manner following agreed standards and working closely with the business to meet their support needs. A great opportunity to become part of team driving change and improvements. Responsibilities and Accountabilities: Assist the Project Manager by providing administrative support on a day to day basis to ensure a successful implementation of our Document Management System, Build Quality Assurance and Health & Safety platform (Asite). Being part of a small team, you will be required to assist whenever necessary with various aspects such as creation and updating workspaces and associated forms and workflows, testing, configuration/set up and problem solving. Main point of contact for any issues or queries from the Group and track through to a satisfactory resolution. Build and establish relationships with a broad range of internal and external users across the Group. Contribute towards the creation of project reports, presentations and change requests as directed by the Project Manager. Carry out meeting administration including booking rooms, equipment for project and team meetings and stakeholder events. Organise meetings and issue agendas, document where necessary and circulate meeting minutes and actions. Organising necessary training requirements for Project Teams at point of workspace creation. To assist with creation and update of SharePoint site to share project information and create a knowledge base for the Group Technical Competencies: Demonstrated excellence in providing superb customer service and strong communication skills (written, verbal, and listening). Ability to learn quickly and maintain a diverse workload in a fast-paced environment. Previous experience working on the Asite platform desirable but training will be provided. Experience and understanding of software development and configuration an advantage. Can do attitude and good problem solver mind-set. Excellent organisational, diary management and administrative skills. Knowledge of project management processes e.g. Prince2 and Agile Please note our standard working hours are 8:00am until 5.00pm Monday to Friday, though we operate a flexible working policy so working hours can be adjusted to suit individual needs
