Role : Regional Global Workplace Solutions Lead Location : Egham, UK Experience : 10-15 Years Role type : Full time Job Description : Summary The ideal candidate for GEO Lead of Global Workplace Services for Europe, Africa and Russia will possess the following demonstrated skills and experience: strong business acumen and Corporate Real Estate Management knowledge, Facilities Management, working knowledge of program execution, customer focus, supplier relationship management and contract management, project management, infrastructure systems operations and maintenance, organization and personnel development, operating and capital budget development and management, quality and process improvement. Essential Duties and Responsibilities · Act as key liaison for assigned GEO to Real Estate Transactions, Risk and Compliance, Facility Creation Team and GWS Finance. · Implement processes and procedures for the effective management of all HCL facilities in the GEO including construction management, and program coordination for users. · Accountable for leased, portfolio of assets, through effective controls monitoring, optimization, benchmarking and strategic planning aligned with HCL’s organizational structures and financial cycles. · Participate in the management of projects related to HCL’s premises, including Design & Construction, Portfolio Optimization programs, relocations, space decommissioning and Lease Administration. · Work with managers to determine organization needs for additional space. · Work with outside brokerage firm to identify portfolio consolidation and cost reduction opportunities. · May conduct vendor negotiation and selection, in conjunction with procurement, and performs overall management, then establishes contracts with vendors and defines workflows, jobs and reporting relationships. · Works with legal counsel, real estate brokers and architects/space planners as needed · Coordinates work with internal regional/local partners to ensure proper execution of projects · Demonstrates extensive knowledge of organization's business practices and issues faced and contributes to problem resolution of those issues. · Ensure local, regional, and federal safety and facilities compliance for all offices. Manage 3rd party health & safety contractor as applicable. · Maintain security systems and third-party guarding vendors to ensure the physical security of HCL facilities. · Maintain data in Seat Management and Exit Management Systems, oversees Access Card Rights Management system. · Inform, and consult with GEO security manager to ensure best practices for physical security within the GEO facilities . · Develops team members through mentoring and coaching · Manages team of corporate support services and office management · Acts as advisor to HCL’s management team on leasing and facilities management matters. · Ensure current and creative workspace practices, systems and mindset, including our approach to space-planning, leveraging digital, automation, and contemporary technology · Maintain standards regarding office spaces consistent, space planning and internal relocations with company's goals, culture, and regulatory requirements. · Maintain compliance with all facilities in GEO. Participate in internal and external audits related to compliance. · Regularly works with Managers in local area to fulfill expectations. Uses independent judgment and decision-making to plan and prioritize work and develop strategies within areas of responsibility. Performs work with moderate supervision. · Responsible for financial performance, capital expenditures, risk management and compliance with regional codes and regulations · Work closely with M&A team on new lease acquisition · Accountable for enabling and managing a workplace experience that is consistent with HCL’s brand, with strong emphasis on collaboration and results. · Serve as primary point of contact for all facilities related matters. · Work with Central GWS Finance and Regional GWS teams to prepare annual budgets (Capex & Opex) and review budget Vs actuals on a monthly basis. Qualifications, Skills and Requirements · Extensive knowledge of principles, policies, and practices relating to the corporate real estate industry. · Works independently and collaboratively. · Expert relationship skills. Builds trust and rapport with clients, teammates, and vendors. · Outstanding interpersonal skills, oral and written communication, and the ability to interact with senior leadership. · Strong relationship and project management skills. · Highly organized with strong strategic planning, decision making, and negotiation skills. · Manages multiple projects and deadlines effectively. · Works effectively in a fast-paced environment. · High level of persistency with willingness to be innovative with problem solving. · Skillful at analyzing pitfalls and developing solutions. · Proficient in MS Office (Excel, Power Point, Outlook, etc. ) · Operates in a fast-paced, energetic environment and welcomes change. · Business acumen Education, Training and Experience · Bachelor’s degree in related field required, Master’s degree preferred. · 10-15 years of experience in corporate real estate portfolio management · Corporate real estate professional designation preferred. · Experience working in a Facilities management function that demonstrated increasing levels of responsibilities.
