We are a successful and well established engineering and manufacturing company who operate on a global scale and we now have an exciting opportunity for an experienced Export Sales Administration Supervisor to join our Head Office team. Reporting into the Department Manager you will supervise a team of 2 working alongside the wider sales administration team. The role would suit candidates with proven export experience gained within a manufacturing or engineering company seeking to join a successful international company who can offer career development and a stable employer. We are happy to consider candidates with or without the previous people management skills. In return we can offer a salary up to £40k plus annual bonus, 25 days holiday, contributory pension, health care, onsite parking, 25 days holiday and a hybrid working arrangement if desired. You will be working alongside our sales administration, production and engineering teams to facilitate the export of our products to arrange of customers worldwide and as such you must have proven export administration, documentation and co-ordination skills. To manage product orders and custom project orders for the complete range of our equipment, through the acknowledgement of orders received, applying for Export licences, liaison over delivery dates and organisation of worldwide shipments, ensuring all activities are undertaken to maximise levels of customer satisfaction and in strict compliance with export and other shipping regulation. To progress purchase orders / contracts from customers, matching to any existing quotes, inputting to the Company ERP system, ensuring all internal vetting processes are completed and any export control requirements highlighted prior to confirming acceptance of the order To liaise with the Engineering/Project team regarding more complex customer orders, to ensure all aspects of the products are accurately reflected in the production/ordering process. To attend regular meetings on all Project orders to ensure the project plan is being adhered to and update the customer of any changes as necessary To apply for export licences, including Standard Individual Export Licences (SIELs) and Open Individual Export Licences (OIELs) for both Dual Use and Military Goods. Ensure the correct use of Open General Export Licences (OGELs) and apply for Control List Classifications for new products. This will involve identifying the correct documentation, liaising directly with the appropriate internal and external parties and submitting the application through SPIRE, the Export Control Organisation’s online export licensing system To apply for re-export licence applications from the US Department of Commerce. This will encompass identifying the correct documentation, liaising directly with the appropriate internal and external parties and submitting the application through SNAP-R, the Department of Commerce’s online export licensing system To coordinate optimal despatch dates with the Production Planning team. To monitor delivery schedules and ensure the Production plans will achieve committed dates, where this is not possible, advising the external customer, internal sales and Projects Team, if appropriate, in sensitive customer situations, that alteration of despatch dates are necessary To manage the shipment of equipment to customers across the world, establishing priorities with the internal packing team and liaising with external couriers/freight forwarders, ensuring comprehensive accompanying documentation, strict adherence to export licence regulations/VAT regulations and any drivers handling Company equipment are fully qualified/certificated to handle hazardous goods when required. To produce accurate and timely invoices to customers for all equipment orders To accurately maintain the database of products, showing which products require an export licence and the correct Control List Classification, and liaising with the Engineering department to obtain the information, as required. To line manage 2 members of staff and co-ordinate the workload for all export licence applications. To deputise for the Sales Office Manager for all Sales Admin related tasks. In order to be successful, you should have the following skills and experience:- Proven sales order processing experience ideally within an engineering/manufacturing environment Proven worldwide exporting experience Up-to-date knowledge of classifying goods with a UK Control List Classification number and applying for UK export licenses Familiarity with ERP and Customer Relationship Management (CRM) systems In return we can offer a salary up to £40k plus bonus plus a full benefits package, on site parking and a hybrid working pattern.
