The ideal candidate for this position will enjoy working in a fast-paced environment. They will play a key role coordinating the logistics and providing administrative and business support to the co-CEOs, ensuring they are where they need to be at all times, with the necessary documents and agendas provided ahead of time. You may also be asked to assist other SLT members on an ad hoc basis. The ideal candidate should be detail-oriented and a creative problem solver. Key Responsibilities Proactive diary management – seamlessly organising and maintaining extremely busy and constantly changing diaries. Booking all meeting rooms, organising frequent video conferencing sessions between offices/homes internationally Attending key meetings as required, organising onsite and offsite departmental events Providing professional and effective administrative support –hospitality orders, preparing agenda's/materials, meeting and greeting visitors, and processing expenses Manage Travel - arranging occasional domestic and international travel itineraries, flights, rail and taxis Responding to enquiries and requests; ensuring all client and key contact enquiries are handled efficiently and effectively, seeking answers and resolving matters personally where appropriate. Acting as a bridge between Co-CEOs and key stakeholders Project management - liaising with key stakeholders to create presentations such as our quarterly Town Hall, strategy decks and showreels (Powerpoint, Google Slides) Assist Co-CEOs on key strategic planning documents, including information and data gathering, reporting and presenting Assist in internal events and be a key player in championing our values Background and Experience Prior experience in diary management and dealing with SLT, Board level execs Have worked in a fast-paced creative/media environment Experience handling highly confidential information and documentation Previous experience in creating/designing decks for internal and external purposes Skills & Competencies Be extremely organised Be highly professional and discreet, whilst remaining approachable and positive Be experienced with modern digital work tools - G Suite, Slack, Trello, Zoom Be experienced in creating presentations - Google Slides, Powerpoint Be open to assisting in ad hoc personal assistant requests - gift buying, travel booking, errands etc Be flexible & proactive in your approach to assisting the co-Ceo’s and the wider SLT when needed Bonus Points Experience using design products - Adobe Creative Cloud Experience in Project Management Experience handling budgets What we offer 33 days holiday inclusive of bank holidays. 24/7 access to a confidential employee assistance program Bike to work scheme Religious holiday trade Volunteering leave to volunteer for a registered charity.
