Operations Coordinator & PA Role Description Providing proactive PA and operational administrative support to three Directors across Human Resources and Sales functions in our EMEA business, based in London. Supporting on a variety of operational focused activities whilst engaging with the wider regional and global teams. The role supports the smooth running of three business areas as a whole and will constantly seek to improve how we get things done, simply and efficiently. General Support Assisting with the execution of business and operational projects Undertake certain projects working on own initiative and under stated guidelines. This will require a high degree of personal judgement. Take positive action in the absence of, or on behalf of, the Executive Director and ensure that they are well versed with the course of action taken. This involves a high level ability to prioritise work and to absorb knowledge on new and emerging initiatives and problems which affect the organisation with minimal reference to others for guidance. Support and preparation for and attend meetings where required Prepare and format documents including business cases, reports and presentations on behalf of the Execs Production and distribution of minutes and monitoring follow up actions Full calendar management for the three Execs in region Regular meetings with Leaders to prep for the week ahead To assist setting up key meetings & identifying key introductions requests and reaching out to set up introductions Creation and distribution of a regular U.K newsletter Preparing the notes for our regular UK All Hands meeting Manage travel plans for Execs Event management & coordination of customer dinners and team events Creating Corporate Agendas for senior level Executives & travelling visitors to the London office Manage the Execs’s calendars Assist with offsite meetings, sourcing space and managing contracts and various logistics for the day offsite Track action items and key issues to closure with a high degree of integrity and accountability Assisting with coordinating interviews Being the first point of contact for those requesting the Executives meeting time Act as a gate keeper for Executive’s time, ensure they are prepared for meetings with adequate time in the diary to review/prep. Client activity with Client Execs that the Sales Directors’ need to be involved in Organising team 1:1’s and preparation Team meetings scheduling and prep monthly and quarterly Leadership and Management meetings scheduling and prep, notetaking and follow up Be responsible for sourcing community impact initiatives and being a point of contact for external stakeholders Assist with organising and driving charitable events Assisting the HR team with scheduling and organisation of projects and events such as training, wellness events and Culture Champions Essential skills, knowledge and experience: Previous working experience providing support at director level or similar Experience of working with Office365 and the Microsoft Office Suite (or equivalent), particularly skilled in using PowerPoint, Excel and Word. Able to take meeting notes and minutes clearly and concisely Ability to communicate effectively and diplomatically with a wide range of audiences whether by phone, email or in person. An effective forward planner who thinks of details and with the ability to anticipate and respond quickly to change. Able to deal with confidential and sensitive information appropriately. Able to make the best use of time particularly when under pressure from competing priorities, prioritising and delegating tasks effectively, during periods of both low and high demand. Able to identify and act on opportunities for continually improving ways of working. Able to organise meetings and events, of varying scales, and coordinate all aspects of the meeting/ event logistics
