Job Title: Executive Assistant Location: Cambridge Salary: £25,700 - £27,500 pa Hours: Full – Time Monday to Friday (36 hours) Part Time – Monday to Friday (25 hours) Are you an experienced Executive Assistant or Personal Assistant? We have an exciting position available for a reputable organisation specialising in scientific functions. The successful candidate will provide high level support to the Direct, Chief Operating Officer (COO and Scientific Operations Manager), you will be required to assist all day-to-day and longer-term operational matters required for the effective functioning of the Director’s and Scientific Operations Offices. Below is a breakdown of the role: Acting as Personal Assistant to the Director and COO. Providing support for the Scientific Operations Manager and their team. Acting as the first point of contact for internal and external visitors Responsibility for the organisation of events. Secretariat support for internal meetings. Your main responsibilities as an Executive Assistant: To provide personal assistant support to the Director and this includes: Organising the Director’s diary and busy schedule. Arranging the Director’s attendance at conferences both in the UK and abroad – all necessary arrangements including travel and reimbursement of expenses. Liaising and communicating on behalf of the Director to coordinate appointments and arrange meetings throughout the world. Liaising with conference and meeting organisers to ensure that information to/from the Director is supplied in a timely fashion and that all documentation is in place. Arranging visits to the company by individuals from different organisations throughout the world and be their first point of contact. To provide support to the COO and Scientific Operations Manager and this includes: Organising the COO and Scientific Operations Manager’s diaries. Organising and coordinating meetings managed by the Scientific Operations team. Reacting to problems that arise when the COO and or/the Operations Manager are not available for advice or to address the problem themselves. Other responsibilities: Dealing with incoming mail (paper and electronic), telephone and personal enquiries to the Director and Operations Office. Arranging the annual Seminar Series in consultation with the Seminar Committee. Advising on travel arrangements and arranging hospitality for visitors to the company. Managing meeting logistics such as booking rooms / refreshments and sending out email meeting requests and reminders. The ideal candidate will have the following skills and experience: Education to at least A Level standard (Essential) Significant experience as a PA/EA/Administrator to an executive position (Essential) Experience of diary/travel management and scheduling (Essential) Experience of arranging meetings and larger events such as conferences Strong IT skills – including word processing, databases, spreadsheets and electronic diaries Confident and at ease in dealing with a wide variety of people at all levels Proactive and works well under pressure If you are interested in this Executive Assistant position, please contact Katy Kong on (phone number removed)/(phone number removed) or send your CV to .
