Job Specification- Maintenance Officer The compliance function at Bleep 360, made up of onboarding, maintenance, and audit, is a comprehensive and very dynamic department. The department are responsible for ensuring all our temporary workers have completed pre-employment checks and are also maintained to this level throughout their time with Bleep 360 Group. The employment checks we must carry out are dictated by the NHS, CQC and Ofsted frameworks we are governed by. Our employment checks are audited throughout the year by independent auditors so the department must ensure standards are always maintained. Your role as a Maintenance Officer will be to ensure our cleared candidates are maintained and fully compliant, allowing the businesses to have the biggest pool of candidates to work with. To do this, you will be liaising with candidates over the phone and via email to remind, chase and obtain their documents, and then storing them on the centralised database. For our compliance department to consistently offer the best service, we are ever-evolving and often implement new processes. The ideal candidate will be adaptable and have a solution-driven attitude when it comes to improvements. Main duties: Running weekly reports to identify documents that have and/or are due to expire Maintaining our CRM database to ensure all candidates profiles are fully completed Communicating effectively with candidates to ensure they are aware of their expiring documents, and ensuring they send them across before expiry in order to continue working Obtaining and verifying all documents received, ensuring they satisfy the criteria of various NHS and CQC framework requirements Supporting Account Managers in providing fully compliant temps Ensuring no working candidates need to be stopped from working due to compliance lapses/requirements Proactively maintaining candidate’s files and ensuring audit standards are adhered to at all times Working towards completing internal audits of candidate’s files Providing support to the Audit and maintenance team Building rapport with candidates to ensure they keep their files up to date. During the course of the individuals’ career they will take on other tasks such as arranging and attending meetings and interviewing candidates, maintaining uniform stock levels and arranging for top ups, organising and doing post runs, and monitoring the various compliance mailboxes. Person specification: Experience in admin and/or customer service is always a great advantage but is not essential. It is however critical that you possess the following qualities: Must have good attention to detail due to the nature of the Maintenance role Confidence when speaking on the phone Good communication both internal and external Be able to cope with a fast-paced environment and work well under pressure Be flexible and adaptable, with a can-do, positive attitude Good organisational and time management skills Able to adapt to using different CRM and data software Can prioritise tasks that are urgent and important Team player Strive for the best Able to show initiative in tasks Respect for confidential information Willing and able to create and present reports and data to key stake holders Additional Information: Working hours are 8:30am- 5:00pm, Monday to Friday.
