Job Description Post: Finance Officer Salary: Scale 4/5| NJC 9 – 14 £21,269 – £23,484 FTE Actual Salary: £15,919 - £17,576 (2022 Pay Award Pending) Contract Type: Part Time (30 hours per week) Permanent Contract Term: Term Time 20 days Responsible to: Trust Accountant Overview: To provide a comprehensive financial service for over 600 staff within the Impact Education Multi-Academy Trust. Other Arrangements: Office based with some flexibility for occasional home-working. The post holder will be asked to work 20 days across the school holidays according to operational need. This is an exciting opportunity to join a developing Multi-Academy Trust of seven schools. The role is intended to be part of the MAT’s Executive Team, leading the developing central services function and will evolve with the Trust which incorporated in May 2013. The Trust’s mission is to improve the life chance of children and young people, while also aiming to be the best employer possible. The role will be based in the Trust central office at Bradley, Huddersfield, however the ability to travel to individual schools is a necessity. The purpose of the role is to be part of the trust’s Central Services Finance Team providing financial support to academies and the central trust, working across all main finance ledgers. Key Duties and Responsibilities Purchase Ledger (PL) • Confirm that all invoices are authorised to be paid, and process invoices on the finance system • Prepare and post BACS payments on the system and at the bank • Handle and resolve purchase order/invoice/payment queries • Review statements and supplier accounts and identify and resolve outstanding issues. • Monitor aged creditors and assist in the clearing of old or erroneous account balances Sales Ledger (SL) • Receive Sales Ledger payments and match to SL invoices • Monitor payments and chase overdue payments • Resolve queries relating to sales invoices and payments • Maintain the customer database including adding authorised new customers and changes to customer details • Monitor aged debtors and assist in the clearing of old or erroneous account balances Cash Book (CB) • Prepare and reconcile bank accounts monthly • Add direct debit/electronic payments and receipts to the bank ledger working from the bank statement, and ensure all entries are authorised by documentation • Enter credit card transactions for authorised purchases to the finance system • Reconcile credit card statements for accounts held by the academies and ensure full documentation is in place • Prepare and arrange for the movement of petty cash to academies • Reconcile petty cash accounts held by academies and post transactions to the system • Maintain a petty cash account for the central team. • Withdraw cash at the bank and make deposits when required Nominal Ledger (NL) • Draw up nominal ledger journals for routine transactions including corrections, recharges, code changes etc. • Authorise routine transaction journals prepared by colleagues • Post authorised journals to the system. • Prepare and post authorised monthly payroll journals to the system • Prepare, authorise, and add Prepayment Journals to the system at source, on qualifying invoices (however received). Other Finance Duties • Assist fully with any requirements asked by auditors relating to duties, documentation and systems. • Maintain finance files in a recognised system and archive when necessary to audit standard • Maintain an orderly and efficient working environment • Maintain finance email inboxes and ensure these are always up to date and all enquiries have been responded to. Person Specification Essential Desirable KNOWLEDGE AND SKILLS AND ABILITIES Educated to a good GCSE standard or equivalent – minimum A- C in English and Maths. Ability to accurately process data with accuracy and speed, and without error. Excellent organisational and interpersonal skills. Excellent numeracy and literacy skills. Skilled in the use of Microsoft Office and web-based applications. Proficient in the use of email, scanning, and document workflows. Level 3 or above qualification in recognised subjects (eg. A levels, BTEC level 3, ONC etc). Knowledge of and ability to work in, a finance accounting package eg. Sage, FMS, Xero etc. PERSONAL DEVELOPMENT AND ADDITIONAL LEARNING Committed to participate in further training and development activities Shows commitment to own professional and self-development. Working towards a finance qualification eg. AAT certificate level. EXPERIENCE Experience of working in a finance or general office. Experience of processing documentation where accuracy and speed are key aspects. Experience of using all common office computer applications and software such as MS Word, Excel, Outlook, email, and experience Experience of dealing with suppliers or customers or clients and resolving queries and assisting people to resolve issues in a calm, intelligent manner.
